The RTA system comes with nine pre-defined fuel types. Fuel type records contain information for types of fuel and fluids. You'll need to add additional fuel types if your fleet uses fuel or fluids not already defined in the system. The fuel type file is used in the Vehicle Inventory and Fuel Inventory modules and with the Electronic Fuel Interface (EFI) add-on option.

Adding a Fuel Type

The fuel type file is used by the entire system and is not facility specific. To add a fuel type record, do the following:

  • Fuel Type ID: (Text field) Enter a letter or number to identify the fuel type or fluid.
  • Fuel Type Description: Enter a description for the fuel type or fluid.
  • Fuel Type Abbreviation: Enter up to three characters for the abbreviation.
  • Default Fuel Price: Enter the default price for this fuel type or fluid. Normally, the RTA system uses the fuel price from the appropriate tank record when fueling transaction are entered. The price entered here is used to override the tank price when the F2 key is pressed from the pump number field in Quick Fuel Entry (FFQ). This default price will also be used if a product code or pump record for an EFI transaction isn't found.
  • Product Storage: The RTA system separates vehicle costs and usage into several categories. Refer to the table shown below and then specify the product storage that accounts for the fuel type in the appropriate expense and usage categories in the vehicle cost record for reporting purposes (STVF).

    NOTE: The remaining fields in the fuel type record should be left blank when initially adding a fuel type. They are automatically updated as the fuel or fluid is purchased and used.

  • Beginning Inventory: The RTA system automatically updates this field when changes are made to the beginning inventory in the tank file (MUM).
  • Fuel Drops: The RTA system automatically updates this quantity as fuel drops are received (FPT).
  • Fuel Usage: The RTA system automatically updates this quantity as fuel is used (FPM).
  • Total Inventory: No entry can be made to this field; it is automatically computed (Beginning Inventory + Fuel Drops – Fuel Usage).
  • Average Cost: The RTA system automatically updates the average cost as fuel drops are received (FPT).
  • Inventory Value: No entry can be made to this field; it is automatically computed (Total Inventory x Average Cost).

Changing a Fuel Type

To change a fuel type record, do the following:

  1. Select Master > Fuel > Fuel Types from the RTA main menu (MUF).
  2. Highlight the record to change and choose Edit.
  3. Make the changes as needed.
  4. Save the record.
