Tool Checkout Procedures

After tool records have been set up, Tool Checkout will be ready for use. The procedure is very basic—tools are checked out when needed, then checked back in and returned to inventory when done. By checking tools in and out, you will be able to easily determine where the tools are and which mechanics have them checked out.
Tools can be checked in and out from anywhere in the RTA system, making it very
convenient to use Tool Checkout. For example, if you are working in the Work Order or
Paperless Shop modules in RTA, you can check a tool in or out without having to exit the
screen you're in—simply press CTRL+T and the following menu options will be displayed
Select the appropriate menu option, answer a few prompts, and then you'll be returned to the
original screen in which you were working.

Checking Out a Tool

  1. To check out a tool for use, select the Check Out Tools menu option (PO), or press
  2. CTRL+T from anywhere in the RTA system and then select the Check Out Tools menu option.
  3. Enter a mechanic number or press F1 or F2 to select a mechanic from the lookup list.
  4. Enter the tool number or press F1 to select a tool record from the lookup list.
  5. Verify that the mechanic and tool numbers are correct—press ENTER to confirm the entry or press the N key to re-enter the data.
  6. Repeat the process to check out another tool or press ESC to exit this option.

NOTE Only tools with an AVAILABLE status can be checked out.
Once a tool is checked out, the status and usage statistics will be updated in the tool record (MOM). The status will show that the tool is CHECKED OUT along with the name of the mechanic who checked it out. The statistics will show the check out date and total number of times this tool has been checked out (including current). The Years, Days, Hours, and Minutes usage shows past check out information; these are updated when the tool is checked back in.

Checking In Tools

  1. To check in a tool and return it to inventory, select the Check In Tools menu option (PO), or press CTRL+T from anywhere in the RTA system and then select the Check In Tools menu option.
  2. Enter a tool number or press F1 to select a tool record from the lookup list.
  3. The mechanic number and check out and check in information will be displayed—verify the data and then press ENTER to confirm the entry or press the N key to re-enter the data.
  4. Repeat the process or press ESC to exit this option.

Once a tool is checked in, the status and usage statistics will be updated in the tool record (MOM). The status will show that the tool is AVAILABLE. The statistics will show the last check out date, total number of times this tool has been checked out, and usage information.
