Renumbering a Vehicle
There will be times when vehicles need to be renumbered. For example, when vehicles are sold or auctioned, you may still want to retain the costs for that vehicle at least until the end of the year. Some state and federal regulations require vehicle information to be kept for up to five years. For these reasons, RTA recommends that vehicles be renumbered and moved to another facility rather than being deleted from the system. Vehicles can be renumbered in the following ways:
- An individual vehicle can be renumbered and remain in the same facility.
- An individual vehicle can be renumbered and moved to a new facility, with the same or new vehicle number.
- An entire department of vehicles can be renumbered and moved to a new facility, with the same vehicle and department numbers.
When a vehicle is renumbered, all the data for that vehicle is processed and updated with the new vehicle number. When moving vehicles to a new facility, all the necessary vehicle data is processed to update the vehicle number and moved to the new facility. In addition, tire records and history for any tires mounted on the vehicle when the vehicle is renumbered are also moved to the new facility--unless tires with the same numbers already exist in the new facility. Work order records, however, will remain in the facility in which the work was originated but are updated to reference the new vehicle facility and/or vehicle number.
Individual vehicles can be renumbered directly in the vehicle record or through the vehicle renumber program.
Renumbering a Vehicle: Same Facility
Renumbering a Vehicle Through the Vehicle Record
- Select Master > Vehicle > File Maintenance from the RTA main menu (MVM).
- Enter a vehicle number or press F1 to select a vehicle number from the lookup list.
- Select Utilities > Renumber – Same Facility from the menu or click on the Renumber – Same Facility icon in the toolbar.
- Enter password level 1.
- Read the message displayed and choose Yes to continue the renumbering process.
- Enter the new vehicle number. If the vehicle number already exists, you'll be prompted to reenter the vehicle number.
Renumbering a Vehicle Using the Renumber Program
- Select System > Utilities > Vehicles > Renumber Same Facility from the RTA main menu (STVS).
- Enter password level 1.
- Enter the facility number or press F1 to select a facility from the lookup list.
- Read the message displayed and choose Yes to continue the renumbering process.
- Enter the number of the vehicle to renumber or press F1 to select a vehicle number from the lookup list.
- Enter the new vehicle number. If the vehicle number already exists, you'll be prompted to reenter the vehicle number.
Renumbering a Vehicle: New Facility
Renumbering a Vehicle Through the Vehicle Record
- Select Master > Vehicle > File Maintenance from the RTA main menu (MVM).

- Select Utilities > Renumber – New Facility from the menu or click on the Renumber – New Facility icon in the toolbar.
- Enter password level 1.
- Read the message displayed and choose Yes to continue the renumbering process.
- Enter the new vehicle facility.
- Enter the new vehicle number. If the vehicle number already exists, you'll be prompted to reenter the vehicle number.
Renumbering a Vehicle Using the Renumber Program
- Select System > Utilities > Vehicles > Renumber Same Facility from the RTA main menu (STVN).
- Enter password level 1.
- Enter the current vehicle facility number or press F1 to select a facility from the lookup list.
- Read the message displayed and choose Yes to continue the renumbering process.
- Enter the number of the vehicle to renumber or press F1 to select a vehicle number from the lookup list.
- Enter the new vehicle facility.
- Enter the new vehicle number. If the vehicle number already exists in the new facility, you'll be prompted to enter a new vehicle number.
- Choose whether to renumber the vehicle's assigned customer facility number and preventive maintenance template work order facility number.
Renumbering/Moving an Entire Department to a New Facility
An entire department of vehicles can be moved to a new facility. The vehicle and department numbers remain the sameonly the facility number changes.
- Select System > Utilities > Vehicles > Move Dept to New Facility from the RTA main menu (STVM).
- Enter password level 1.
- Enter the facility number or press F1 to select a facility from the lookup list.
- Read the message displayed and choose Yes to continue the renumbering process.
- Enter the new vehicle facility or press F1 to select a facility from the lookup list.
- Enter the department number to be renumbered/relocated.
- Enter the new facility number or press F1 to select a facility from the lookup list. Vehicles will be left in the original facility if the vehicle number already exists in the new facility; be sure to note them and make any necessary adjustments.
Move Selected Vehicles to a New Facility
- Select System > Utilities > Vehicles > Move Selected Vehicles from the RTA main menu (STVV).
- Read the message displayed and choose Yes to continue the process.
- Enter the facility number or press F1 to select a facility from the lookup list.
- Check the boxes for all of the vehicles you would like to move
- Choose the facility you want to move the vehicles to and hit OK.
